Procedure tips for wineries only using Ezy Systems accounting and bottling modules as bulk wine is made offsite.
Reduce the need for general journals, stock adjustments and provide better stock control.
Bulk Wine Stock Items
Set the ‘Bottling Material’ and ‘Purchase Order’ areas of use to Yes. Specify LTR and TON unit of measures with LTR as default with conversion factors set to 1 and 700 respectively (ie. approximate tonnes to litres extraction rate).
Packaging Materials
Set the ‘Purchase’ and ‘Bottling Material’ areas of use to Yes.
Grape Receival Setup Growers as Creditors. Process purchase order in tonnes with tonnage rate for receival of fruit.
Recording Contract Winemaking Fees
Process supplier invoices using the A/P Invoice & Adjustments option and recording the bulk stock items to be impacted. This will ensure that the average cost of bulk stock is also impacted.
Recording Other Overheads
As above for both bulk and packaged stock items for fees such as storage, freight and additives.
Contract Bottling Record finished wine specifications and export bottling requirements to contract bottler. Cost of packaging materials will be correct provided the purchase order module was utilised.
Periodic Stock-Take It’s imperative that regular stock-takes are recorded in litres so that the true cost per litre is known.
